How to clean your Housecall Pro list before your first send
Before a single email goes to your past customers, your list needs a quick pass. This is not busywork. A clean list protects your sender reputation, keeps you out of the wrong inbox, and makes sure the right people hear from you. Here is what to check in Housecall Pro before your first send.
Flag anyone you do not want contacted
Every contractor has customers they would rather not email again: a one-off job that went sideways, a property manager who is not the homeowner, a do-not-service account. The simplest way to handle these is to flag them as “do not service” in Housecall Pro. Anything marked that way gets left out of the send. Take five minutes and go through the list with that filter in mind.
Sort out the addresses that are not real customers
Your customer records collect stray entries over time: the supply house, a subcontractor, your own test job, the office email. None of those belong on a marketing send. A quick scan for anything that is clearly not a homeowner will tidy the list and keep your numbers honest.
Do not scrub too hard
Here is the mistake people make in the other direction. They pull out anyone who has not called in two years, assuming those customers are dead. Those are exactly the people this is for. A customer who has gone quiet is not gone. They have just forgotten you, which is the entire problem email solves. Leave them in.
